PURCHASE ORDERS - Email to Vendors

Email for the selected Purchase Order(s)

  • Setup
           
    • click into the To box to select from a list of detected email addresses in the selected POs and the related Vendors – in this case:
      • ‘Purchase Order’: po@acmesystems.com’ - the report(s) will be emailed to the email address in the Bill From tab of the PO(s)
      • ‘Vendor:BJonder@acmesys.ne’ – the report(s) will be emailed to the email address in the Vendor record(s) with any Contact(s) assigned the ‘Purchase Orders’ Type (manage Types in Edit > Company Settings > Company > Contact Types tab)
      • alternatively, just type email address(es) in the To box (separate additional email addresses with ‘;’)
    • select or type the CC and BCC recipient 
      • BCC can be set in User and Company settings  - Email
    • Attachments box displays any reports being sent, either through the Printer dialogue box (see Purchase Orders - Reports), or using the  Attach Report button
    • select from available email addresses for the From and Reply-To fields
    • enter the message in the bottom box
    •   Attach File of any type
    • option to Select Template or setup a new one:
      • Edit > Email templates
                   

      •   New template
                   EmailTemplatePurchases-1
      • enter Template Name
      • enter Subject for the email
      • select the Type of record this Template will be used for
      • option to set this Template as the Default CheckBoxCheckedBlue for the Type selected
      • enter the email message in the Body section, in the Rich Text tab if you want to use formatting (bullets, etc) or the Raw HTML tab if you want to add special formatting or insert an image, or the Plain Text tab if you want to avoid any formatting
      • option to Insert Param merge field(s) into the subject or message body
      •  (in this case User First and Last names)
                         
        • option to make this a  Shared Template (other Users will have access to it) or a Personal Template
      • if not using a template, then manually enter the Subject and Message, selecting either Rich Text, Raw HTML, or Plain Text tab
      • select the From email address
     
    •   Attach File of any type
    • Insert Param merge fields for this email
    •   Open Related to open the record (Purchase Order) this email was generated from
    •   Send the email or Save / Save Close and Edit / Send later from the Email module or Purchase Order Communications tab (see also Email Batches)
