SERVICE MANAGER - Customer Equipment Communication

Document and /or schedule communication on a record or event

  Communication tab

  • when red, indicates there is a Communication present
  • Refresh to load any Communications that may have been posted since last refresh and that may not be displaying on this list
  • Communications List Filters / Search / Customization - see Equipment List Customization
  • Export Communication details in .xlsx or .csv format (see Service Manager -  Export Equipment)
  • New Communication / Attachment for the selected Equipment ItemServiceManagerEquipmentCommunicationSetup
      • option to Insert Date/Time into the message body
      • Add Attachment(s) of any file type which will copy the file to
                          C:\ProgramData\ Spire\media
        • to centralize these files, there is the option to Migrate them onto the Spire Server in C:\ProgramData\ Spire\media\(database name)
          • Tools > Migrate Files

        • Add Link for a URL or file not in the centralized location mentioned above
        • Open Related (in this case, the Equipment record)
        • Mark Completed to insert the current logon date in the Completed Date field so this alert stops
        • enter Subject
        • option to select Type from a preset list or add New one on-the-fly from the browse list:
                                  ServiceManagerEquipmentCommunicationTypesList
        • enter the message in the body
        • Assigned To - any user set up in the system
        • Due Date (triggered by the system date, not logon date) - schedule the message to:
          • popup at the assigned User’s logon

          • display on the Assigned User’s Calendar, where the Communication can be viewed / accessed with view options:
 
            • Show Users to select which User’s entries you wish to see in your Calendar - activate in User Setting View All Calendars (each User’s entries will be a different colour)                                                   
            • Show Modules to select which originating Modules to display, from modules you currently have access to
            • CheckBoxChecked Show Unassigned to also see entries not assigned to any User (Unassigned entries will be black)
            • CheckBoxChecked Show Completed to view the Communications where ‘Mark Completed’ has been clicked, or a Date is entered in ‘Completed Date’ field
          • Number - option to numerically code or sequence the communication for sorting in Filters and Reports
          • Completed Date - enter any date here to stop notification or click on  Mark Completed to insert the current logon date
          • CheckBoxCheckedBlue Print - is related to Sales / Purchases
          • CheckBoxCheckedBlue Alert does not do anything for this type of record
          •   Save /   Save and Close / Save and Create New
          • the Communication will also display here:
            • Communications module where you have access to the following:
                           
              • Mark Completed to insert the current logon date in the Completed Date field so this alert no longer pops up, for the selected Communication(s)
              •   Open Related (Sale Order)
            • Tools > View Notes Due Today
                        
          • Edit / Delete selected Communication(s)
          • Print reports on the selected Communication(s) 
          • Communications Context Menu right-click line(s) in the list to display
